Privacy Policy

What we collect
When you submit our contact form, we collect the details you choose to provide: your name, email address, business name and type, optional phone number and website, your service interests, and your message. We may also record the page you submitted from and the time of submission.
Why we collect it
We collect this information for one purpose: to respond to your enquiry and discuss how we might help your business. We do not sell your information or use it for unrelated marketing.
How we use it
Your enquiry is emailed to our own inbox so we can reply. This website has no database and stores nothing about you on the server. We use the contact method you prefer, where provided.
How long we keep it
We keep enquiry emails for up to 24 months after our last contact with you, then delete them. If you become a client, we keep the records relating to your project for as long as we work together and for 5 years afterwards, which is the period South African tax and company law requires us to hold business records.
Spam protection
To protect our contact form from spam and automated abuse, we use Cloudflare Turnstile, a privacy-friendly verification service. It runs a lightweight check when you submit the form, with no puzzles to solve and no advertising or cross-site tracking cookies. The verification is processed by Cloudflare under their privacy terms.
Video on this site
Our home page features a video hosted on YouTube. Nothing is requested from YouTube until you press play. Until then you only see an image stored on our own server. When you do press play, the video loads in YouTube’s privacy-enhanced mode (youtube-nocookie.com), which means Google receives your IP address and player activity for that video but sets no advertising or tracking cookies. Playback is handled by Google under their privacy terms.
Website analytics
We may use a privacy-friendly analytics tool (Plausible or Cloudflare Web Analytics) to count page views and see which pages are useful. Neither sets tracking cookies, neither builds a profile of you, and no data is sold or shared for advertising. If analytics is switched on, we also record that a contact form was submitted: the count only, never the contents of your enquiry.
The Customer Portal and the Vavarian app
If you become a client, we create an account for you on our Customer Portal. It holds your name and email address, the login details you set, and the project information we publish for you: milestones, designs awaiting approval, documents and updates. We use it to run your project and nothing else. When the Vavarian app becomes available, installing it and turning on notifications lets us send you alerts about your own project, and you can turn those off at any time in your device settings.
Sharing with third parties
We do not share your details with third parties except trusted service providers used to operate the site (such as email delivery), and only as needed to respond to you.
Your rights
Under the Protection of Personal Information Act (POPIA) you can ask us to:
- tell you what personal information we hold about you;
- correct anything that is wrong or out of date;
- delete your enquiry or account details;
- stop using your details for a particular purpose, or object to how we are using them;
- withdraw the consent you gave when you submitted the form. This does not affect anything we did before you withdrew it.
